  • Name, email address and, where provided, phone number and country.
  • Application and profile details such as your portfolio, showreel, editing niche, experience and rates.

  • Contact details and other information about third parties that you choose to store in member tools such as the CRM or lead scraper. You are responsible for having the right to use that information; we process it to provide the tools to you.

Information from Discord

  • If you sign in with Discord or link your Discord account, we receive your Discord ID, username, avatar and the roles you hold in our community server.
  • We collect activity metrics from our community server, such as counts of messages and reactions, to power features like activity streaks, progress tracking and leaderboards.
  • Your membership tier is reflected as roles on your Discord account in our server, which other members of the server can see.

  • Pages viewed, links and buttons clicked, and how you move through the site and the platform.

4. Cookies and tracking

We use a small number of cookies and similar technologies. Essential ones keep the site working, for example remembering that you have already chosen whether you are an editor or a client so we do not show you that step again.

We also use the Meta (Facebook) pixel to measure the performance of our ads and to show relevant ads to people who have visited us. The pixel runs on this website and on the member platform, and shares event data with Meta such as pages viewed, account registration and key milestones like posting a first job. For some events we also send Meta a server-side copy tagged with an event identifier derived from your account, so the same event is not counted twice.

You can block or delete cookies in your browser settings at any time, and you can use your browser or device privacy controls to limit ad tracking. Blocking essential cookies may stop parts of the site from working properly.

5. Who we share it with

We do not sell your personal data. We share it only with:

  • Service providers who run parts of our operation for us, such as hosting, email delivery, payment processing, scheduling, community software and analytics. They act on our instructions.
  • Clients and editors on the marketplace, where sharing your profile or contact details is the point of the introduction you asked for.
  • Other members, where a feature is designed to be visible to them, for example your community posts, your Discord roles in our server, and your username and activity or achievement statistics on leaderboards.
  • Discord, which hosts our community. Anything you post there, and the roles on your account in our server, are processed by Discord under its own privacy policy.
  • Advertising platforms such as Meta, for the measurement and audience purposes described in section 4, where you have consented.
  • Professional advisers such as our accountants and lawyers, where needed.
  • Authorities or other parties where we are legally required to disclose, or to establish or defend legal claims.
  • A buyer if the business or its assets are sold or restructured.

6. International transfers

Some of our providers are based outside the UK and the EEA, including in the United States. Where personal data is transferred, we rely on an adequacy decision or on standard contractual clauses together with appropriate safeguards, so your data keeps an equivalent level of protection. You can ask us for details of the safeguards we use.

7. How long we keep it

  • Member and account data: for as long as your membership or account is active, and afterwards for as long as we reasonably need it to handle queries, reactivations, disputes and our legal obligations. If you want your data deleted sooner, ask us and we will delete what we are not legally required to keep.
  • Marketplace project records, chat and escrow history: retained after a project ends so we can resolve disputes and meet financial record-keeping duties.
  • Payment and invoice records: 6 years after the end of the relevant financial year, as required for UK tax purposes.
  • Marketing contacts: until you unsubscribe or ask us to delete your details.
  • Website analytics and ad data: typically up to 2 years.

8. Your rights

Under UK and EU data protection law you have the right to:

  • Ask for a copy of the personal data we hold about you.
  • Have inaccurate data corrected.
  • Ask us to delete your data, where there is no overriding reason for us to keep it.
  • Ask us to restrict how we use your data, or object to us using it, including for direct marketing.
  • Receive your data in a portable format, or ask us to transfer it to another provider.
  • Withdraw consent at any time, where we rely on consent. This does not affect anything we did before you withdrew it.

To exercise any of these, email Jack@vidproplus.co. We will respond within one month. If you are unhappy with how we have handled your data you can complain to the UK Information Commissioner’s Office at ico.org.uk, or to your local supervisory authority in the EU. We would appreciate the chance to put things right first.

9. Security

We use appropriate technical and organisational measures to protect your data, including encrypted connections, access controls and vetted providers. No system is completely secure, so we cannot guarantee absolute security, but we take any incident seriously and will notify you and the regulator where the law requires it.

10. Children

Our services are for people aged 18 and over. We do not knowingly collect data from children. If you believe a child has given us their data, contact us and we will delete it.

11. Changes to this policy

We may update this policy from time to time. The “last updated” date at the top shows when it last changed. If a change materially affects how we use your data, we will tell you directly, usually by email.
